Event Checklist
Key Deadlines for Successful Events
Please note the following deadlines for important parts of the reservation process.
It is your responsibility to make sure all applicable items are submitted on time.
Failure to meet deadlines for items that pertain to your reservation may result in the cancellation of your reservation.
3 weeks (15 business days) prior to the event:
- SG funded student organizations must provide the Event Services office with a copy of the Authorization to Purchase form (if applicable)
- Notify Event Services Office that alcohol will be served (if applicable)
- Contact Division of Alcoholic Beverages and Tobacco to obtain liquor license for events where alcohol will be sold (if applicable)
- Insurance paperwork completed for non-university events
2 weeks (10 business days) prior to the event:
- Final room configuration and audio-visual setup information due to Event Services office
- All student organizations must return the completed Program Planning Form/Permit to the Office of Student Activities
- Last day to cancel ballroom/Arredondo room/auditorium/large outdoor reservations without financial penalty
- Notify Event Services office of equipment rentals from non-JWRU vendors
- Room decoration information due to Event Services office
- Full payment of room rental and audio-visual equipment due for non-university events
2 business days prior to the event:
- Any changes to room configurations and audio-visual setups due to Event Services office – additional charges may apply
1 business day prior to the event:
- Banners to be hung in Grand or Rion Ballrooms due to Event Services office (if applicable)
- Meeting room reservations must be cancelled by 12 Noon to avoid financial penalty
