UF Faculty and Staff: Please note that departmental rates are only available when booking department events through Chartfield. If booking for a personal event, you are subject to the non-affiliate rates.

We reserve the right to deny reservation requests regardless of the posted availability. You must be a Registered Student Organization to qualify for Student Organization pricing. If you are a UF Department, you must pay with Chartfield. We no longer take PCards for UF departments. If you are paying with SAR (SG Funding), your organization must request the funds as soon as possible and send us your SAR number. We must receive your blue or green slip from SG Finance at least 2 days before your event, otherwise your reservation will be cancelled or you will be required to provide alternative payment in the form of credit card or check.

Demonstrate respect toward staff and fellow students at all times.

Any form of harassment—whether online or in person—is strictly prohibited.

Any action that results in damage to the space, computers, or other equipment, or violates the student code of conduct (including any illegal activity or harassment), is defined as a prohibited action and will result in suspension of Esports Center privileges.

This includes, but is not limited to, the use of unauthorized third-party software, bug exploitation, stream sniping, collusion, and any other act defined as violating fair play by specific game EULAs or tournament rulesets, in addition to relevant sections of the UF Student Code of Conduct.

Users must handle gaming hardware with care.

Modifying, tampering with, or misusing equipment is not permitted.

Mistreatment of the Esports Center equipment will result in suspension of Esports Center access.

Personal keyboards, mice, controllers, and headsets are permitted with the understanding that the Reitz Union is not responsible for any damages to personal equipment.

Students are responsible for the safe storage and security of their personal items.

Food is strictly prohibited within the Esports Center.

All drinks inside the space must be in a closed container with a screwable lid.

Cleaning Procedures:
Shared equipment (e.g., keyboards, mice, headsets) will be disinfected daily by Game Room Employees. Users are encouraged to wipe down personal items before and after use.

Immediate Reporting:
If you experience or witness any issue—including harassment, technical failures, or personal injuries—please report it to the Game Room staff immediately.

How to Report:
Use the QR code displayed in the facility to access the Incident Report Form. Alternatively, you may notify any Game Room employee directly.

Documentation:
An official Incident Report Form is available for all complaints. Please fill out this form with as much detail as possible to ensure prompt and effective resolution.

Fire Evacuation:

• Evacuation Procedures: In the event of a fire alarm, immediately exit the building.
• Emergency Exits: All emergency exits are clearly marked. Do not use elevators during a fire emergency.
• Assembly Point: After evacuating, proceed to the designated assembly point outside the building. Leave all personal belongings behind.

Active Assailant / Lockdown Protocol:

• Immediate Action: If there is an active threat, move quickly and quietly into a secure area.
• Lockdown Measures: Lock all doors behind you, and avoid windows or external doors. Follow instructions from campus security personnel.

Severe Weather / Hurricane Procedure:

• Procedure Activation: During hurricane warnings or severe weather conditions, the facility will follow UF’s emergency protocols.
• Closure & Reopening: The center may be closed during such events. Please monitor official UF communications for updates. Upon reopening, users must follow all re-entry procedures as outlined by campus safety.

In All Emergencies:

• Follow Instructions: Users must immediately follow directions provided by UF staff, campus safety personnel, or emergency responders.
• Stay Informed: Regularly check posted updates and campus alerts to remain informed about any changes to safety procedures.
